I came to Hearthway three months before a scheduled mediation session. The meeting preparation service gave me a question list I had never managed to write down on my own, a document pack that actually made sense, and an agenda my mediator said she would keep for future reference. The two rounds of revisions were used — we changed the order of questions after I realised one topic needed more time than I had allocated.

The briefing helped me understand what the general process looked like before I engaged a lawyer. I knew roughly which forms to look for and which departments dealt with what. One thing I would say is that the session covered a lot of ground quickly — a glossary handout would help. I was glad to see one was included in the printed materials at the end.

We are now eight months into the twelve-month coordination plan. The quarterly review is probably the thing I value most — seeing the archive in one place, knowing what has been added since last time, understanding what is coming up in the next quarter. My named contact responds quickly and has never made me feel that my questions are unusual or unreasonable.

My brother and I both attended the briefing together. We had different views going in and I was concerned about whether the session would feel slanted toward either of us. It did not. The materials were the same for both of us, the presenter went through everything evenly, and we left with a shared understanding of what the process looked like — which was what we needed to be able to have a more grounded conversation with our lawyer afterwards.

The preparation worksheets were more useful than I expected. I had assumed I would end up with a generic template, but the question list was actually specific to the documents I had brought. The one area I felt less well-served was the agenda timing — we ran over on the first topic and had to cut the last one short. Still, the lawyer mentioned that the document pack was organised better than most she receives.

I signed up for the coordination plan partly because I knew I would not stay on top of the filing myself. Twelve months in, I have not missed a single appointment and my archive is in better shape than it was at the beginning. Worth every ringgit for the peace of mind alone.

Case summaries

A closer look at three household situations and how Hearthway's services fitted into the wider process.

Challenge

No shared understanding of the process

Two siblings inherited a jointly held property and needed to navigate a formal partition arrangement. They had no shared baseline understanding of how Malaysian property administrative processes worked and kept finding themselves with different versions of what each step involved.

Service used

Process Orientation Briefing (joint)

Both siblings attended a single two-hour briefing. The session covered the general sequencing of property administrative processes in Malaysia, common terminology and how to read official public guidance. Materials were identical for both attendees. Following the briefing they met their lawyer with a shared baseline for the first time.

Outcome

Productive first professional session

Their lawyer reported that the first meeting was the most efficient first session they had held with a joint client in some time. Both siblings arrived knowing what questions to ask and what documents to bring. The process moved into active stages within three weeks of the briefing.

"We stopped talking past each other as soon as we had the same map." — K.W., Damansara
Challenge

Disorganised paperwork before a sensitive meeting

A household in Bangsar had an initial consultation with a mediator scheduled within three weeks. The client had documents spread across multiple devices and physical files, no clear order of priority and no written list of what needed to be discussed. They felt underprepared but did not know where to start.

Service used

Meeting Preparation Worksheets

Hearthway worked from the documents already held, produced a question list grouped by topic, a one-page background summary for the mediator and an indexed document pack. Two rounds of revisions adjusted the question order and added a section the client had overlooked. Final materials were ready five days before the session.

Outcome

Full use of the session time

The client reported that the mediator worked through the agenda without running over and that every question on the list was addressed. The indexed document pack was used during the session to locate specific items. A second session was scheduled within two weeks.

"I arrived knowing exactly what I needed to say and where every document was. That hadn't happened before." — S.Y., Petaling Jaya
Challenge

Eighteen months of paperwork accumulation

A client in Subang Jaya had been managing a lengthy family administrative matter for over a year. Documents had accumulated without consistent filing, several appointment dates had been missed, and the household had no clear picture of what they held or what was outstanding.

Service used

Twelve-Month Coordination Plan

The first month involved a complete archive audit and initial indexing. From month two onward, monthly filing brought the archive up to date. Quarterly reviews identified items that needed follow-up. Calendar management ensured no further appointments were missed. The client's named contact coordinated with two independent professionals simultaneously.

Outcome

Full archive control within three months

By the end of month three the client had a complete, searchable archive and an accurate calendar of upcoming dates. Zero appointment omissions since the plan started. At the eight-month mark the client reported that their professional meetings were running more efficiently because the documents were always ready before the session.

"The quarterly review is the most useful hour of each quarter. I can see everything." — P.R., Subang Jaya
